New Security Roles and Tasks are missing when upgrading to Microsoft Dynamics GP 2015 R2

When upgrading to Microsoft Dynamics GP 2015 R2 from a lower release, we noticed that the following security roles and security tasks were not getting created and are missing:

If you run an INSERT script and get a 'Primary Key Violation' error, it just means that the record is already in that table, which is fine.

Tables Changes in Microsoft Dynamics GP 2015 R2

Microsoft Dynamics GP 2015 R2 released today, and with it the GP 2015 R2 SDK. As of right now, there are no changes to the SDK to report. I will use this blog post as a landing page for any changes that come to our attention, and will update this blog with the changes as they come up.

Microsoft Dynamics GP 2015 R2 HRP New Features - Mask Social Security Number on Payroll Reports

Hello!

Over the next few days we will be kicking off our Microsoft Dynamics GP 2015 R2 New Features Blog series with Human Resources and Payroll! We will start off with the Mask Social Security Number on Payroll Reports feature. This feature has been one of our more popular requests, and we are now bringing it to life for our customers!

For years, customers have been modifying their payroll reports in GP to mask the Social Security Numbers. With this new feature, a Payroll Administrator has the option to mask the Social Security Numbers on a predefined list of reports within Microsoft Dynamics GP without having to make Report Writer modifications. At the same time they can choose to not mask the Social Security Number for reports that may need the Social Security Numbers to display due to state or federal requirements such as W-2s. If the Payroll Administrator selects to apply the mask for one of the predefined reports, when generated, the employee’s social security number field will appear with a XXX-XX-XXXX mask.

What if I am already using a modified report? Good News! The masking will still occur on the following reports regardless of whether they have been modified or not.

Microsoft Dynamics GP 2015 R2 HRP New Features – Employee Self Service View/Print W-2

Hello again!

Today I would like to introduce our new Employee Self Service View/Print W-2 feature. In Microsoft Dynamics GP 2015 R2, new window that can be accessed in the Time Management content pane by Self Service employees, was added that enables the user to Print/View their W-2. The Self Service employee will be able to print their own W-2 with the most current boxes and labels.

Some employers will want the ability to print all W-2 forms for employees who haven’t already printed their own W-2s. A new option was added that enables the user exclude printing W-2s that a Self Service employee has already printed themselves. This option will be listed in the Print W-2 Forms window (Tools>>Routines>>Payroll>>Print W-2s).There will be a checkbox under the ‘Print: W-2 Forms’ radio button which will be labeled ‘Exclude ESS Printed W-2’.

Note: If you upgraded from a previous version, you will not have the ESS EMPLOYEE* role by default.  A blog will be published with scripting to add these roles. We also recommend applying the Mid-Year Tax update which will be available in late June before implementing this feature.

Microsoft Dynamics GP 2015 R2 - General Ledger Combine Inquiry Windows New Feature!!

Microsoft Dynamics GP 2015 R2 is here! You spoke, and we heard you!! By popular demand, with the release of Microsoft Dynamics GP 2015 R2 Inquiry windows in General Ledger have been consolidated!! No longer do users have to navigate to different inquiry windows depending on whether or not the transaction is in an open or historical year.

Users can now view open and historical transactions in the same window for Summary, Detail and Account Summary Inquiries!! In previous versions of Microsoft Dynamics GP, users could not view open and historical transactions in the same inquiry window.  

The Detail Inquiry window and the Historical Detail Inquiry window have been combined into the Detail Inquiry window. Both open and historical years are now available in the Year drop down field. To open the Detail Inquiry window: On the Financials area pane, point to Inquiry, and then click Detail :

The Summary Inquiry window and the Historical Summary Inquiry window have been combined into the Summary Inquiry window. Both open and historical years are now available in the Year drop down field. To open the Summary Inquiry window: On the Financials area pane, point to Inquiry, and then click Summary:

The Account Summary window and the Account History window have been combined into the Account Summary window. To open the Account Summary window: On the Financials area pane, point to Cards, click on Account, and then click the Summary button:

Known Upgrade Issues When Upgrading To Microsoft Dynamics GP 2015 R2

Hello -

Their are currently a few known upgrade issues that you may encounter when upgrading to Microsoft Dynamics GP 2015 R2:

ISSUE #1:
You may encounter an issue with the ASIEXP86 table (SmartList Favorites Columns Master) when upgrading to Microsoft Dynamics GP 2015 R2:
"The stored procedure SynchronizeTableData() of form duSQLAccountSynch : 27Pass Through SQL returned the following results: DBMS: 2601, Microsoft Dynamics GP: 0."

BEFORE UPGRADING TO MICROSOFT DYNAMICS GP 2015 R2:
To identify whether or not you will encounter this issue, before upgrading, to Microsoft Dynamics GP 2015 R2, please run the following script against your DYNAMICS database:

SELECT * FROM DYNAMICS..ASIEXP86
WHERE ASI_Field_Number NOT IN (SELECT ASI_Field_Number FROM DYNAMICS..ASITAB20)

If records are returned, please open up a non-chargeable support incident as well as including the script results of the above referenced script for us to look at and provide you with further steps to proceed.

ISSUE #2:
You may encounter an issue with the SY07240 table (List View Action Pane) when upgrading to Microsoft Dynamics GP 2015 R2:
Cannot insert the value NULL into column 'CmdSequence', table 'DYNAMICS.dbo.SY07240'; column does not allow nulls. INSERT fails.*/

BEFORE UPGRADING TO MICROSOFT DYNAMICS GP 2015 R2:
To identify whether or not you will encounter this issue, before upgrading, to Microsoft Dynamics GP 2015 R2, please log into your current Microsoft Dynamics GP installation and verify that you see the Vendors Not Submitted list and Vendors Pending Approval list underneath of Vendors on the Purchasing page.

If the Vendors Not Submitted and Vendors Pending Approval lists are missing, please open up a non-chargeable support incident for further steps to proceed.  In addition, please let us know the version of Microsoft Dynamics GP that you are upgrading from.


 If those lists do appear, you can go ahead and proceed with your upgrade to Microsoft Dynamics GP 2015 R2.

NOTE:  Issue #2 will be resolved in the Microsoft Dynamics GP 2015 Canadian Payroll Mid-year Tax Update which is tentatively slated to release the week of June 22nd.

 
IF THE UPGRADE IS ALREADY IN THE FAILED STATE FOR EITHER ISSUE:
If you have already attempted to upgrade to Microsoft Dynamics GP 2015 R2 and have ran into an error on the ASIEXP86 table or on the SY07240 table in the System Database, you will want to open up a non-chargeable support incident for further information.

If you have encountered the error on the ASIEXP86 table, please close out of Microsoft Dynamics GP Utilities. 
Next, enable a Dexsql.log file (https://mbs.microsoft.com/knowledgebase/KBDisplay.aspx?scid=kb;en-us;850996).  Re-launch Microsoft Dynamics GP Utilities and when you encounter the issue with the ASIEXP86 table, go ahead and save the Dexsql.log file and submit with the case for further review.

In addition, please send the following script results when opening up a support incident if it is the ASIEXP86 table that is failing:
select * from DYNAMICS..ASIEXP86
order by ASI_Favorite_Dict_ID, ASI_Favorite_TYPE, ASI_Favorite_NAME
 
If you are enrolled in a support plan directly with Microsoft, you can enter a new support request to Microsoft Dynamics® Technical Support from Customer Source or Partner Source under Support >>
New Support Request.

Microsoft Dynamics GP 2015 R2 - Historical Received/Not Invoiced Report

An often requested feature enhancement has been the ability to enter a date for the Received Not Invoiced report. We have heard your call! To address this need, we have created a new SRS report, the Historical Received/Not Invoiced report.

The current Received/Not Invoiced report details Purchase Orders and Receipts and Invoices that have not been matched to the Purchase Orders. The current report pulls all match information regardless of date. The new report will look at each document and its date ( either Transaction ( Receipt/Invoiced ) Date or GL Posting Date ) to determine if the transaction should print on the report.

If the date falls within the cutoff date the user has entered, the transaction will print on the report. 

Since this is an SRS report, it will be deployed to the server/reports/company/purchasing folder.  The new report will be named Historical Received/Not Invoiced Report.

Microsoft Dynamics GP 2015 R2 New Features - Payables Transaction Approval

Hello!

A new workflow type has been added with GP2015 R2.  The AP Invoice approval in Workflow Maintenance is now available.  The Payables Transaction Approval workflow type will allow you to submit and approve each transaction in the Payables Transaction Entry window.  Approval is also available through the email notification and the navigation lists. 

The PM Batch Approval workflow type is still available as well, but only one AP workflow(Transaction or Batches) can be used.  Whichever workflow is chosen, the other option will be disabled.

Microsoft Dynamics GP 2015 R2 - Purchasing All-in-One View

Have you ever had a Vendor call in wondering about the Invoice related to their payment? Or wondered what check paid a particular PO? Well, wonder no more – presenting the all new Purchasing All-in-One View!!   You can now easily view all transactions for a particular vendor, or other Purchasing documents related to a particular Purchasing transaction.

For example, a vendor calls asking about a specific payment.  Users will be able to select the vendor and then view all documents related to the payment, such as the PO, receipt, invoice, payment, etc.

A new window has been added – the Purchasing All-in-One View window. This window is accessible from multiple locations in GP, including:

  • Vendor Maintenance 

  • Purchase Order Processing Document Inquiry

  • Vendor Inquiry 

  • Transaction Inquiry – Vendor

  • Transaction Inquiry – Document 

  • Purchase Order Processing Item Inquiry

  • Navigation Lists

    • Vendors

    • All Purchasing Transactions

    • Payables Transactions

    • Purchase Order Transactions

 

When a summary record in a section is tapped or clicked the new Purchasing All-in-One View window will be filtered to show only documents relating to the document that was tapped/clicked.  For example, here’s what happens when a single PO is selected:

Clicking the expansion arrow will give expanded details about the transaction selected:

The filter icon will open a new pop-up filter window to allow for filtering and searching.  Each column will have a filter with different options as well as search capabilities. 

All manner of Purchasing and Payables documents are shown, including:

  • Purchase Orders

  • Shipments

  • Invoiced

  • Payments

  • Returns

  • Credit Documents

While this information has always been available in Dynamics GP, we now have an easy to use, central location to quickly access the information you need to server your Vendors most efficiently.   This is a great new Feature, brought about by your continued input for improving Dynamics GP.

Wouldn’t it be great if when a Customer calls in you have an easy way to know if they are over their credit limit? With GP 2015 R2, now there is!

Introducing the Visual Customer Over Credit Limit!!

Two new checkbox setup options have been added to Receivables Setup:

 

The first option give a Visual Cue if a Customer is over their Credit Limit:

 

The second option gives a Warning message when a Customer is over their Credit Limit:

Time Management App for Human Resource and Payroll!!!

WOW... I'm pleased to announce, we now have an app for entering our Vacation, Sick and Benefit Time types (Human Resource) for your employees!!

This app will allow Microsoft Dynamics GP Employees to enter Vacation and Sick time in Payroll or time off against Benefit Time codes within Human Resources.  The app will use the settings within Dynamics GP to determine what types of pay codes the user can enter time against.

This is an excellent tool for Salary employees to enter their time taken through the Time Management App.

The Time Management App is available on the following devices:
Windows Tablet or PC, Apple Device, Android tablets.

Microsoft Dynamics GP 2015 R2 Debits displayed before Credits in SmartList Reports

It is finally happening! One of the most requested SmartList features has been included with the release of Microsoft Dynamics GP 2015 R2. Once updated, the Debit Amount column will display before the Credit Amount column in the Account Summary and Account Transaction default SmartLists.

Along with the changes to the default Account SmartLists, the same change has been made to the AccountSummary Default and AccountTransactions Default Excel Reports.

These changes come with a change to the DEBITAMT field moving immediately before the CRDAMT column in the following tables in the Company database.

Along with the DEBITAMT column moving in front of the CRDAMT column, the ORDBTAMT column has also been moved in front of the ORDCRDAMT column in the following tables.

Canadian Payroll 2015 Mid-Year tax update has released!

Many times we are asked can I install this update I do not use Canadian Payroll?  Yes you can!

We label the update as it mainly contains changes for Canadian Payroll, but any U.S. or Canadian customer can install this update as they may want a fix that is in this release.

 

Here is a list of changes in this update by product version.

Microsoft Dynamics GP 2015 (version 14.00.0778) (Includes GP 2015 R2) - Releasing Soon!

Canadian Payroll - 14.00.0783
The mid-year 2015 Canadian Payroll Tax Update contains changes for New Brunswick, Newfoundland and Labrador, Yukon and British Columbia.

Advanced Human Resource
The status column was added to the employee and manager view for Certification, License and Training.

Deduction in Arrears
A deduction may not go into Arrears after you install the March Hotfix for an employee.

Project Time and Expense
Your Payables batch may go into batch recovery when you post an Employee Expense from Project Time and Expense.

Payroll Self Service
There are a variety of fixes for 'View my W-2', if you plan to allow your employees to print and view W-2's, it would be encouraged to install this hotfix.
Self Service Timecard Assignment is rolling down more items than expected from the setup to employee.

Payroll
The word 'None' should not print on the Affordable Care Act (ACA) form 1095-C when no ACA code is assigned to the employee.

Document Attach
You are not able to delete a file attachment on a note.

System/Upgrade
When you upgrade to GP 2015 R2 you may receive an error Cannot insert the value NULL into column 'CmdSequence', table 'DYNAMICS.dbo.SY07240'.

When you upgrade to GP 2015 R2 you may receive an error during utilities around AXIEXP86 table, the stored procedure SynchronizeTableData().

The mid-year 2015 Canadian Payroll Tax Update contains changes for New Brunswick, Newfoundland and Labrador, Yukon and British Columbia.

Microsoft Dynamics GP 2015 R2 New Features - Auto Deposit Cash Receipts In Bank Rec

Hello! 

Previously in Microsoft Dynamics GP, to use the Auto Deposit functionality, the user was required to have Analytical Accounting installed. In GP2015 R2, the Auto Deposit functionality can be used with or without Analytical Accounting installed. This company setup option allows for cash receipts entered in Receivables Management to directly update the checkbook balance when posted. You will not be required to post the cash receipt again from the Bank Deposit Entry window (Transactions >>Financial >> Bank Deposits) in Bank Reconciliation if you mark this option.

 

How to Enable the Auto Deposit Functionality

  1. In Dynamics GP2015 R2, navigate to the company setup window (Administration >> Setup >> Company >> Company >> Options)

  2. Enable the Auto Deposit functionality by checking the box next to ‘Automatically post cash receipt deposits’

  3. Click ‘OK’ to save the changes.

Microsoft Dynamics GP 2015 R2 New Features - Enable Email Functionality On All Sales and Purchasing Document Formats

Hello! With the release of GP2015 R2, we have enabled additional document formats for the Sales and Purchasing Module. 

The Print Options for Sales Orders currently only support email for ‘Blank’ document formats.  This feature will support email for any document format for all Sales Order documents.   The formats now available in Sales are: Blank, Short, Long and Other

This feature is supported when printing from the Transaction Entry Window, Navigation Lists, and Print Sales Documents window.

The Print Options for Purchase Orders currently only support email for ‘Blank’ document formats.  This feature will support email for any document format for all Purchase Order documents. The formats now available in the Purchasing Module are:  Blank and Other

 

This feature is supported when printing from the Transaction Entry Window, Navigation Lists, and Print Purchasing Documents window.

 

There are two ways to use this new functionality.  A user can create the templates using Template Generator and assign the template to the company and document type as they would the blank formatted templates.  A second option is to add the Web Client functionality that creates a template using the Report Writer report.

Microsoft Dynamics GP 2015 R2 – SmartList Designer View Workflow

With the release of GP 2015 R2 comes another great addition to Workflow 2.0. This new workflow option will allow for the approval of new SQL Views created through SmartList Designer.

Once approved, these workflows will allow users to use the Publish option to create new, refreshable Excel reports on these views. Being able to use the Publish option from SmartList does require that Excel Reports already be deployed on your system.

The new SmartList Designer View Approval workflow can be found under the Administration series in the Workflow Maintenance window once GP 2015 R2 has been installed.


You will need to set up the workflow like any other workflow in your system, with a Manager(s) and Approver(s). Be sure to mark the workflow as Active once you have created the New Step!

Once the workflow has been setup, you will see the Submit button light up when creating new SmartLists in SmartList Designer. Before clicking the Submit button after you are finished creating the SmartList, you will see the [Not Submitted] status in the upper left area of the SmartList Designer screen as well. You will still be able to run the SmartList without submitting the view for approval, but you will not have the option to use the Publish button until the workflow has been submitted and approved.

 

After submitting the workflow, approvers can find the SmartList workflow in the new SmartList Designer View Pending Approval Navigation Pane option under the Administration selection.

 

Just like other Pending Approval workflow Navigation Panes, you can check the checkbox next to the View that needs approval and click the Approve/Complete button. Approvers also have the option to open the view from this Navigation Pane by double-clicking on it for review, or highlight it and use the Edit button. Once reviewed, approvers can select to Reject, Delegate, or Approve/Complete the workflow.

Once Approved/Completed, users will then see the Publish button light up in the SmartList window when viewing the SmartList.

 

Users can click on the Publish button and should receive a message stating that “The Excel Report published successfully.”

Users will then be able to view the Excel Report from within the Excel Reports directory on the system.

Also, during this process, a new view is created in SQL in the GP Company database that the workflow has been approved in, and will start be named like the following.

dbo.GPSLD_FIN_SmartList Name

Users can leverage these newly created views for other custom reports within SSRS or for more SmartList Favorites and Excel Reports.

Microsoft Dynamics GP 2015 R2 New Features - Workflow Document Attachment

In Microsoft Dynamics GP 2015 R2 new functionality has been added that allows users to include documents that they have attached to the various business objects (e.g. timecards, purchase orders, purchase requisitions, payables batches and transactions, etc.) in the notification emails that workflow approvers receive. This, paired with the Workflow Email Action functionality that was previously included in Workflow, will allow an approver to receive a notification email, review the included attachments and approve or reject the document directly within the email.

 

Configuration


There are just a few steps you need to complete in order to configure Microsoft Dynamics GP 2015 R2 to include document attachments in workflow notification emails.

1) The Allow Document Attachments checkbox must be marked on the Document Attachment Setup window (Administration – Setup – Company – Document Attachment Setup)

NOTE: The Send Attachments in email checkbox is for existing functionality to send emails to vendors and customers. This checkbox does not affect the workflow messages and does not need to be marked for the new workflow functionality.

2) The Include Document Attachment documents checkbox on Workflow Maintenance (Administration | Setup | Company | Workflow Maintenance) is only enabled if you have marked Allow Document Attachments in Document Attachment Maintenance and Send Message on Workflow Maintenance.

Note 1: Some windows allow for a document attachments at both the header and the line item level (e.g. sales line items, purchasing line items). When the message is sent, all document attachment documents on the window will be sent.

Note 2: Document Attachments from the Note window will not be sent in the workflow message.

 

When an approver receives the notification email it will look like the following. Note that the document, which was attached to the Purchase Order in this case, has been attached to the e-mail.

We’ve also enhanced the Document Attachment Status Inquiry window as a new feature in Microsoft Dynamics GP 2015 R2.  This functionality allows you to view when a particular attachment was included in a workflow notification.

If you go back to our previous example Purchase Order you can drill down into the attachment object as follows:

1) Navigate to the Purchase Order Entry window and open the Purchase Order you submitted for approval

2) Click on the Attach button to open the Document Attachment Management window

3) Highlight your attachment, then click the blue expansion arrow by the Date field to open Document Attachment Status Inquiry

4) You should see two entries for this particular attachment: one for Attached and another when it was included in a Workflow Message

Microsoft Dynamics GP 2015 R2 New Features - Default SmartList Visibility

With the release of Dynamics GP 2015 R2, there have been a few changes surrounding the SmartList window.  One of the most requested new changes is the ability to set the Default SmartList Visibility for new Favorites in your system.  The new setting is a small change that will hopefully have a nice sized impact on creating new Favorites in the SmartList window and make the SmartList folders easier to maintain. 

This new setting can be found under the System Preferences window when you go to Microsoft Dynamics GP | Tools | Setup | System | System Preferences.

As you can see in the screenshot above, we now have the option to set Default SmartList Visibility to System, Company, User Class, and User ID.  This new setting applies to newly created Favorites only. 

This requires you to click on the top level folder for the SmartList section and click Favorites for this setting to show up, as seen in the screenshot below, after setting the Default SmartList Visibility to User ID in this case.

To access the new setting in the screenshot, expand the Series folder, then click on the subfolder of your choice, such as Account Transactions under Financial, then click Favorites.  You should then see your new Default setting visible in the Add or Remove Favorites window.

This new Default SmartList Visibility setting will help to keep your SmartList Favorites organized and allow for more flexibility within the GP system, especially when most SmartLists that are created are set up by users that want them to be user specific or company specific.

Microsoft Dynamics GP 2015 R2 - Self Service User Type New Feature!!

By popular demand, the Self Service User Type has been added with the release of Microsoft Dynamics GP 2015 R2!!! This was created for users who require very limited access to the system. It is a less expensive option which enables users to perform tasks such as entering payroll time, entering project time and expenses, and/or creating a purchase requisition.  

The Self Service User Type has been added to the User Setup window with the release of Microsoft Dynamics GP 2015 R2. Open the User setup window by clicking on the Administration area pane, select Setup, and then click User under System:


 

The following steps can be used to assign the Self Service User Type to a new or existing user:

  1. Open the User setup window by clicking on the Administration area pane, select Setup, and then click User under System.
  2. Next to User ID enter a new User ID or select an existing User ID.
  3. In the User Name field, enter a name for the new user if applicable.
  4. Select‘Self Service for the User Type.
  5. Enter/confirm a password for the user.
  6. Click Save, and close the window.

Note: The POWERUSER role must be unmarked in the User Security Setup window prior to assigning the Self Service User Type.

If POWERUSER is marked in the User Security Setup window in association with the user in question: When you change that user to the Self Service user type, the following error will occur prompting you to 'unmark' the POWERUSER role:

We Have a Script Available to Change Limited Users to Self Service User Type in Microsoft Dynamics GP 2015 R2 When Appropriate!!!

The Self Service User Type was available for purchase before it was implemented into the product with the release of Microsoft Dynamics GP 2015 R2.

Before 2015 R2, Self Service users were set up as Limited users with the understanding these users would only have access to the ESS Security Roles and Tasks.

With the Release of Microsoft Dynamics GP 2015 R2, Self Service users originally created as Limited users can be switched to the Self Service user type appropriately.

Click on the following link:UpdateESSUserType.sqlto download the script that can be used toupdate the 'User Type' for Self Service users originally created as Limited users to the Self Service User Type in mass.

The UpdateESSUserType.sql script will update all users who meet the following criteria to the Self Service User Type in Microsoft Dynamics GP 2015 R2 and above:

  • Currently assigned the Limited User Type
  • Assigned to one or more of the following ESS Security Roles:

ESS EMPLOYEE MANAGER*

ESS EMPLOYEE*

ESS PURCHASE REQUESTER*

ESS EMPLOYEE-BSS*

ESS PTE EMPLOYEE*

  • NOT assigned to any other Security Roles

IMPORTANT to know prior to utilizing the UpdateESSUserType.sql script:

  1. Always make a restorable backup of the databases prior to making any changes.
  2. This script is meant for scenarios where multiple users need to be updated to the Self Service user type. *Remember, you can manually update the User Type on the front end as well.
  3. This script should ONLY be run on Microsoft Dynamics GP 2015 R2 or later versions. It will produce an error, and will not run if processed on an earlier version.
  4. IMPORTANT: Verify that Registration Keys include Self Service users prior to running the script. Self Service User Type MUST be registered in order to successfully utilize Self Service User Type functionality.
  5. Note: If script is processed while not registered for Self Service users, all users changed to Self Service user type on the back-end will be unable to log on to Microsoft Dynamics GP successfully!!

Microsoft Dynamics GP 2015 R2 - Analytical Accounting Views in SmartList

With the release of Dynamics GP 2015 R2 comes another requested new feature to SmartLists for Analytical Accounting.  Many users have asked for the AA Open Transactions and AA History Transactions SmartLists to be edited to show all of the dimensions and codes under the associated distribution, rather than show the distribution multiple times to display all of the dimensions and codes.  This change has been made in GP 2015 R2!

 

Two new database views have been created in the GP company database in SQL for this particular change, the AAOpenTransactions view and the AAHistoryTransactions view.  As you might guess, they pull the Analytical Accounting Open Year transactions and Analytical Accounting Historical Year transactions respectively. 

Existing Analytical Accounting Open Year Transaction SmartLists have been altered to use the new AAOpenTransactions view and existing Analytical Accounting Historical Year Transaction SmartLists have been altered to use the AAHistoryTransactions view after applying GP 2015 R2.

The columns below will be displayed by default in the listed order.  Other columns will be available to be added from the Change Column Display, as usual.

  • Year
  • Journal Entry
  • GL Posting Date
  • Transaction Source
  • Account Number
  • <Column for each Transaction Dimension record>
  • Debit Amount
  • Credit Amount

The new SmartList will look like the following screenshot.

 

This compares to the SmartList from GP 2013 that looks like the following screenshot.

 

The biggest change between these versions is that the GP 2015 R2 SmartList shows both distributions, one with two Transaction Dimensions linked to the 000-1100-00 Account, each with their own column, displaying the associated Transaction Dimension Codes. 

In GP 2013, by default, there was only one column for the Transaction Dimension Code, and the distribution would then display multiple lines if there were multiple dimensions with codes assigned to it. 

 

Also, in GP 2015 R2, the full transaction will display, even if the account is not linked to Analytical Accounting, as you can see in the first screenshot for Account 000-1200-00.  This allows the SmartLists to accurately show what Dimensions and Codes are assigned to each distribution, and also show other distributions on the same transaction that do not have any Dimensions or Codes assigned to it.

 

The new views that these SmartLists are now based on have also been created as new data connections for GP Excel Reports in the Data Connections\<Company ID>\Analytical Accounting folder for each company.

  • <Company ID> AA Open Transactions Default.xlsx
  • <Company ID> AA History Transactions Default.xlsx

Excel Reports will pull data from the new AA database views and will use the same default columns that are available in the new AA Transaction SmartLists.
